WhatsApp appointment confirmations
Confirmations, reminders and replies on the channel your patients already have open — with templates written for how your clinic actually speaks.
What this covers
For many of your customers, WhatsApp is not an alternative channel; it is the default one. A confirmation sent there gets read, and a patient who needs to move an appointment will reply there whether or not you have set it up to receive replies.
The part worth building carefully is not the sending — it is the loop. A confirmation that nobody reads replies to is a notification. A confirmation that accepts "can we move it to Thursday" and routes that to the right place is part of your appointment workflow.
Confirmations that double as a check
The message repeats back the name, number, date and reason the patient just gave. A misheard name or a wrong digit surfaces within a minute of the call instead of on the day of the appointment — which is the real reason to send one.
Reminders on a schedule you set
Ahead of the appointment, at the interval your practice finds works. Sent in the patient's local time, not the server's.
Two-way replies
A patient replying to confirm, reschedule or cancel is handled as part of the same conversation rather than arriving as an orphaned message nobody reads.
Templates matched to your clinic
WhatsApp's Business API requires message templates to be submitted and approved before they can be sent. We write them in your clinic's voice and manage the approval, which is a lead time worth knowing about up front.
What it deliberately does not do
- It does not send marketing broadcasts. Appointment and service messages only — bulk promotion is how a WhatsApp Business number gets restricted.
- It does not discuss clinical matters. A reply mentioning pain, medication or anything urgent goes to your team, not to a template.
- It does not message anyone who has not contacted you. Consent comes from the patient getting in touch first.
- It does not store message content longer than the workflow needs it.
What we need from you
- A WhatsApp Business account, or the willingness to set one up — we can walk you through it.
- The wording you want patients to receive, or permission to draft it for your approval.
- Which replies your team wants to see and which the workflow should handle on its own.
- Your clinic's timezone, so reminders do not arrive at four in the morning.
Scope, integrations and timelines are confirmed with each client before anything goes live — see how we work for the process.
Send the confirmation you wish you were sending.
Tell us what your patients currently get after booking — often nothing — and we will draft what they should get instead.
