What this covers

Most clinics do not have a scheduling problem so much as a transcription problem. The details arrive by phone, WhatsApp, a web form and the front desk's memory, then somebody types them into the practice system — twice, usually, and sometimes wrongly.

Appointment automation is the layer that takes a request from any of those sources, checks it against the rules your practice actually runs on, and produces one structured record. It is the destination for requests that an AI receptionist captures on the phone, and it works just as well for requests that arrive in writing.

  • Your availability, as rules

    Opening hours per day, appointment lengths by treatment type, buffers between patients, how far ahead you will book, and which clinicians or chairs can take which work. Written down once, applied on every request.

  • Request routing

    A request arrives with everything needed to act on it and goes to whoever handles that kind of booking — new patients, recalls and urgent slots do not all belong in the same queue.

  • Reminders and recalls

    Scheduled reminders ahead of the appointment and recall nudges for patients due a check-up, sent on the channel the patient actually reads.

  • No-availability handling

    When nothing fits, the workflow says so and offers the nearest alternatives. This sounds obvious; it is the single most commonly broken path in an automated booking flow, because a lookup that finds nothing tends to end the branch silently.

What it deliberately does not do

  • It does not overwrite your appointment book without permission. Whether a confirmed request is written directly to your calendar or reviewed first is your decision, and most practices choose review at the start.
  • It does not triage. Deciding that someone needs to be seen today is a clinical judgement and stays with your team.
  • It does not take payment or quote treatment prices.
  • It does not invent availability. If your rules say there is nothing, it says there is nothing.

  • Appointment lengths by treatment type, and any buffer you keep between patients.
  • Who is allowed to confirm a booking, and what they need to see in order to do it.
  • The scheduling tool or calendar you want requests to land in.
